We are looking for a detail-oriented Operations Support Specialist to help support the back-office operations of a growing mental health practice group. This is a hybrid role, with remote work flexibility and a requirement to come into our Bethesda, MD office at least two days per week.
The ideal candidate is organized, reliable, comfortable working with Excel and data, able to work independently, and takes ownership of assigned tasks until they are completed or appropriately escalated.
- Monitor escalated billing/account issues that have not been resolved through the standard billing process.
- Follow up on unresolved accounts with the billing team, internal staff, vendors, or leadership as needed.
- Track escalated accounts to make sure each item has a clear status, next step, owner, and follow-up date.
- Identify accounts where billing follow-up appears delayed, incomplete, or unclear.
- Review reports to identify aging balances, denials, COB issues, unresolved patient balances, and missing follow-up.
- Maintain trackers for open items, overdue follow-ups, and unresolved issues.
- Monitor whether required billing outreach has been completed through approved workflows or systems.
- Generate payroll support reports for leadership review.
- Monitor workflow activity in business systems, spreadsheets, or other tools.
- Support new-location onboarding by tracking setup tasks, deadlines, owners, and open items.
- Follow up with internal teams, billing, vendors, and leadership on assigned tasks.
- Escalate delayed, incomplete, or unclear items to the appropriate person.
- Prepare simple status updates, summaries, and data reports for leadership.
- Strong Excel and data analysis skills.
- Strong attention to detail.
- Self-directed and able to work independently.
- Takes ownership of assigned tasks and follows through until items are completed or escalated.
- Comfortable managing open items without constant reminders.
- Comfortable working with spreadsheets, reports, trackers, and task lists.
- Strong written communication skills.
- Reliable follow-through and ability to stay organized.
- Comfortable working across multiple systems.
- Able to commute to the Bethesda, MD office on a weekly basis.
- Mental health practice experience preferred.
- Healthcare, billing, revenue cycle, payroll, or operations experience preferred.
- Mental health practice operations.
- Healthcare operations or administrative support.
- Medical billing or revenue cycle support.
- Payroll reporting or compensation tracking.
- Excel, Valant, EMRs, CRMs, or similar systems.
- Supporting multi-location operations.
Bonus eligibility is based on meeting defined performance metrics related to report accuracy, timely follow-up, issue tracking, escalation management, payroll report support, and completion of assigned operations tasks.
